Voted Best Architectural Firm To Work For 4 years in a row, Taylor Design, a 100% employee-owned firm, is looking for a Project Administrator to join our offices in Southern and Northern California. This is your opportunity to work with a team of dedicated, creative and fun architects and designers and help support the project teams and maintain the office.

 

The Project Administrator position is the front-line image of Taylor Design with many internal and external responsibilities, including project work, and electronic filing of project-related information.  This position performs varied administrative and project support work requiring organizational skills, attention to detail, and basic knowledge of practices and procedures in the AEC industry.  The primary responsibility is to support our Project Teams by learning and following office and project management protocols at Taylor Design. 

The Project Administrator will:

  • Provide general administrative support and electronic filing for project teams in the region including appropriate project documentation, and timely communication with those members (internal or external) connected with the projects.
  • Organize project meetings and agendas, meeting attendance, and preparation of meeting minutes.
  • Maintain detailed electronic accounting database systems, like Deltek, in support of Project Managers.
  • Assist project managers in drafting initial fee proposals, project schedules, add-services, and contract processing in conjunction with our contracts department.
  • Support Project Managers in the analysis of data in the accounting system, including reports and dashboards;
  • Identify and inform Project Managers with any issues regarding staffing, outstanding AR, and consultant invoices.
  • Review initial accounting client invoices with Project Managers.
  • For projects in CA, log and process RFI’s, submittals, and correspond with project team members on a timely basis

Skills / Requirements

Education and Experience Required

  • 3+ years of experience in a professional services firm, AEC preferred.
  • Professional, with exceptional written, verbal, and interpersonal skills.
  • Proactive, take initiative and well-organized.
  • Able to work quickly and accurately under pressure.
  • Ability to multi-task and work independently, as well as in a team.
  • Highly proficient in MS Office applications (Excel, Word, and Outlook) is required.
  • Knowledge of AEC accounting software such as Deltek or BST, preferred.
  • Knowledge of CA administration software is a plus.
